The goal is to have a sufficient stock of MRO parts without having too many. As stated it all starts with a strong planned preventative maintenance program. No stores management program in the world can offer effective cost savings serving a reactive maintenance environment. Where the majority of maintenance is planned several weeks in advance only then can the practices within inventory management be optimized.
The first step is, knowing what you have and where it is located. A parts catalogue goes a long way in achieving this step. It is also important to create company part numbers and not rely on the vendor number. Relying on the vendor number too often allows for organizations to buy the same kind of part from different suppliers. A company number allows for multiple vendor numbers to be cross referenced against the company part number. An added bonus of this method of control is to be able to shop for the best price.

Labelling the bins and shelves to find the right part at the right time goes a long way in speeding up the process of checking out parts. Recording what parts have been taken and in what quantities ensures that effective reordering of parts can take place. Having a central place located close to where the bulk of the maintenance activities take place is critical. A further factor is proper storage environment to protect the condition of the parts while in storage.
Analyzing the parts to see which are inactive is critical in keeping carrying costs to a minimum.
With proper controls in place stock outs and inactive parts are kept to a minimum.
